IMPORTANT: Please ensure you read our Terms & Conditions in their entirety before booking.
For your convenience, we have summarized six key pillars of our agreement below:
1. Payment & Deposits
Full payment is required at booking. Please note that 15% of your total booking is a non-refundable administrative deposit, unless the 24-hour grace period applies to your booking.
2. Cancellations by You
Should you need to cancel, the amount you will be refunded depends on how far in advance of your trip the cancellation is made. Please refer to Section II below for specifics.
3. Mandatory Documentation
Tour participation is contingent on the completion of our Waiver and Medical Information Forms. These can be viewed on our website any time prior to booking.
4. Conduct & Safety
For the safety of all on your tour, please carefully review our conduct guidelines under Paragraph V below in full.
5. Media Release
By participating, you grant MOLARI permission to use tour photos/videos for marketing and social media. You may opt out at any time by contacting us directly.
6. Acceptance of Terms
By completing a booking with MOLARI, you acknowledge that you have read, understood, and agree to the full Terms & Conditions listed below.

By completing a booking with MOLARI, you acknowledge that you have read, understood, and agree to be bound by the following Terms & Conditions:
I. BOOKING & PAYMENT
- Payment Terms: Full payment required at booking. 15% is a non-refundable deposit. Prices in CAD + 5% GST
- Methods of Payment: Major Credit Cards (Visa, MC, Amex), Interac e-Transfer and EFT/Wire Transfer (all associated fees covered by payer)
- Minimum Enrolment: For any non-private tours, any minimum enrolment requirements will be communicated separately. If not met, we will offer to reschedule or refund in full.
II. CUSTOMER CANCELLATION & REFUNDS
- Single-Day Tours:
- 100% refund minus 15% deposit if cancelled 7+ days prior;
- Full charge (no refund) if cancelled less than 7 days prior.
- Multi-Day Tours:
- 100% refund minus 15% deposit if cancelled 60+ days prior;
- 70% refund if cancelled 30-59 days prior;
- Full charge (no refund) if cancelled less than 30 days prior.
- Grace Period: For any booking made at least 14 days in advance, we offer a 24-hour grace period. In such cases, we will provide a 100% refund if you cancel within 24 hours of booking.
- All cancellation windows are calculated based on the start time of the tour in Mountain Standard Time (MST).
III. COMPANY CANCELLATION & ITINERARY
- Company Cancellation: A full refund or the option to reschedule will be offered if an excursion is cancelled by MOLARI, including due to unforeseen circumstances or force majeure (e.g., extreme weather, road closures, safety, wildfire/smoke, natural disasters, mechanical issues, or government orders). MOLARI is not responsible for any associated external costs (e.g., flights, hotels).
- Weather & Achievement of Objectives: Itinerary changes may be necessary for safety, operational viability, third-party availability, and environmental conditions. MOLARI makes no guarantee that specific itinerary objectives (e.g., reaching a certain summit or viewpoint) will be achieved. The Guide has sole discretion to modify or terminate the excursion based on factors including weather, terrain/trail conditions, or group fitness.
IV. LIABILITY, SAFETY & INSURANCE
- Waiver & Medical Disclosure: All participants are required to read, complete and sign a Waiver & Liability Release and Medical Information Form prior to participation (for participants under the age of 18, this is completed and signed by a parent/guardian). The waiver is available for review any time on www.molaritours.com and includes detail regarding the risks of participation. Failure to comply with this clause will constitute participant cancellation and cancellation policies will apply accordingly.
- Limitation of Liability: To the maximum extent permitted by law, MOLARI’s total liability for any claim arising out of the tour shall be limited to the total amount paid by the guest for that specific tour.
- Accuracy of Information Disclaimer: While we strive for accuracy, all advance descriptions of activities, trails, difficulty levels, and travel times provided - including on our website - are estimates and provided for informational purposes only.
- Remote Location & Medical Delay Disclaimer: Participants acknowledge that Activities often take place in remote wilderness areas where communication may be limited and medical assistance or evacuation may be significantly delayed.
- Insurance: Comprehensive medical and trip cancellation insurance is strongly recommended, but not included or offered by MOLARI.
V. OPERATIONAL & CONDUCT
- Passes & Permits: Unless otherwise stated, MOLARI provides all necessary National/Provincial Park entry passes and activity permits required for the duration of the scheduled tour. Participants remain solely responsible for obtaining any required passes or permits for any time spent within park boundaries or protected areas outside of the designated MOLARI tour hours.
- Pickups/No-Shows:
- Private tours: The tour clock begins at the scheduled pickup time. While we will wait for you, any delay may result in a shortened itinerary to ensure we stay on track with the day's plans.
- Non-private tours: We offer a 10-minute grace period at pickup locations. A late arrival outside this window will be deemed a no-show.
- Refunds: No-shows are 100% non-refundable.
- Children/Family Policy: Waivers and Medical Information Forms must be completed and signed by a parent/guardian for any participant under the age of 18. Prior approval from MOLARI is required for children under the age of 6 or under 40 lbs (requires safety seat). Guests are responsible for providing their own age-appropriate, Alberta-compliant safety seat. Some tours/activities may not be appropriate for children/minors.
- Pet Policy: Permission to bring any pets on tour is at the sole discretion of MOLARI and subject to a supplementary pet fee. Any guest bringing a pet agrees to hold harmless and indemnify MOLARI for any pet-related injuries, death, or other issues encountered on the tour and assumes full financial responsibility for any damage caused, or fines incurred, by the pet. Such guests also agree to follow all MOLARI/guide instructions related to handling the pet on tour (including an on-leash policy at all times), and any requirements MOLARI has for how the pet will be transported during the tour.
- Equipment: Participants are responsible for the proper use and return of all MOLARI or rental gear/equipment, and agree to pay for any loss, damage, or replacement at full retail value.
- Guest Conduct: All participants agree to comply with all applicable local laws and park regulations, adhere to Leave No Trace principles, and follow MOLARI/guide instructions. Unsafe, disruptive, disrespectful, or inappropriate behaviour may result in removal without refund. Alcohol and illegal substances are strictly prohibited (with the exception of a safe and reasonable amount of alcohol consumed on-site during any tour that includes a visit to a brewery, distillery or winery). Smoking/vaping is prohibited in any vehicles used by MOLARI for guest transport.
VI. MEDIA & INTELLECTUAL PROPERTY
- Media Release: By participating, participants grant MOLARI permission to use tour photos/videos for marketing and social media. Participants may opt out or request image removal at any time by contacting MOLARI directly.
VII. LEGAL & GOVERNANCE
- Governing Law & Dispute Venue: Any legal proceedings or disputes arising from this Agreement shall be governed by the laws of Alberta and shall be handled exclusively within the courts of Calgary, Alberta.
- Dispute Resolution: In the event of a disagreement, both parties agree to first attempt to reach a fair resolution through direct, informal discussion in good faith for a period of no less than 30 days before pursuing any formal legal action or court proceedings. Any legal proceedings that cannot be resolved through this process shall be handled exclusively within the courts of Calgary, Alberta.
- Severability: If any provision of this Agreement is held to be invalid, void, or unenforceable by a Court, that provision shall be modified to the minimum extent necessary to make it enforceable. If modification is not possible, the provision shall be severed, and, in either case, the remainder of this Agreement shall continue in full force and effect.
- Right to Amend Terms: MOLARI reserves the right to update or modify these Terms and Conditions at any time without prior notice.
